POSITION TITLE: Donor Services Specialist
DEPARTMENT/LOCATION: Olathe Public Schools Foundation/Mill Creek Campus
HOURS OF WORK/CALENDAR: 8 Hour Daily/ 242 Calendar Days Yearly
STATUS: Classified - Exempt, Full Time
POSITION SUMMARY:
The Donor Services Specialist position provides administrative, accounting and event support to the Executive Director and the OPSF Board of Directors in alignment with the OPSF strategic plan and goals.
This position is part of the OPSF staff and reports to the OPSF Executive Director.
PRIMARY DUTIES/RESPONSIBILITIES:
- Perform mid-level financial record-keeping functions, including all aspects of accounts payable and receivable using donor database software (Raisers Edge) and financial accounting (QuickBooks) software.
- Work with Executive Director, outside contracted CPA and OPSF Board Treasurer to prepare financial reports and answer questions during the annual audits.
- Perform donation stewardship functions, including record-keeping and reports in the donor software and processing gift acknowledgment letters.
- Perform general office operations, including, but not limited to, phone reception, greeting of visitors, ordering of supplies.
- Provide sophisticated calendar management; prioritize inquiries and requests, troubleshoot conflicts with little guidance, make judgements and recommendations to ensure smooth day-to-day engagement with various constituencies.
- Manage mailing processes, including lists and databases.
- Coordinate scholarship payments and record keeping of annual and recurring scholarships.
- Conduct research and analysis on issues of interest to the Executive Director.
- Prepare and edit correspondence, presentations, reports, and memos.
- Complete gift/expense reports and manage correspondence with Donors and vendors.
- Record and prepare minutes at the Board of Directors meetings, including essential content of discussion, attendance tracking to ensure meeting quorums, motions and votes, transcribing notes, and checking draft copies of minutes for appropriate grammar, technical terminology, spelling, and sentence structure.
- Maintain accurate filing and communications systems including contract management, documents management, and archiving.
- Provide special event logistics and registration support.
- Support the Executive Director in strategic communications, organizational strategy, and all other special projects as assigned.
Education and Experience Requirements:
- Bachelor’s degree in business administration, communications, program management, accounting or related field, or minimum 5 years’ experience or equivalent training performing similar responsibilities.

- Demonstrated track record with effectively managing multiple tasks and/or projects simultaneously.
- Demonstrated excellent organizational skills with a track record in meeting deadlines.
- Ability to learn software used such as QuickBooks, OneCause, Raisers Edge and SmarterSelect
- Strong understanding of “customer-centered” support and the ability to establish effective working relationships at all levels of the organization.

- Ability and willingness to work flexible hours due to occasional meetings and special events scheduled throughout the year.
DESIRED QUALIFICATIONS:
- Understanding of the local community and the special relationship between donors, investors and non-profit organizations
- Work experience in a non-profit setting
- Prior experience with Raiser’s Edge and/or QuickBooks software
- Resident of the Olathe School District
